Timelines for Grant Submissions
To help ensure a smooth and timely proposal submission process, please follow the guidelines below and notify the Pre-Award Office of any anticipated proposal deadlines as soon as you become aware of them.
- 6 weeks before the deadline: Notify the Pre-Award Office of planned submissions for large, complex proposals, including multi-project, multi-site, or center grants.
- 1 month before the deadline: Provide budget details and any available budget-related information.
- 2 weeks before the deadline: Submit draft proposal materials to the Pre-Award Office for review.
- 1 week before the deadline: Submit all final proposal components, with the exception of the Specific Aims, Research Strategy, and Bibliography.
- 2 business days before the deadline: Submit the final Specific Aims, Research Strategy, and Bibliography. This allows for the two-day viewing window prior to submission.
- 10 a.m. deadline day: Please submit any final revisions to the Specific Aims, Research Strategy and Bibliography no later than 10:00 a.m. If final materials are not received by 10 a.m., the proposal will not be submitted.
Thank you for your cooperation in helping us ensure accurate and timely proposal submissions.
CDI Internal Grant Review Process
The CDI Internal Grant Review Process is required for UCLA Department of Pediatrics faculty members submitting their first K-level grant or first R-level grant. Please see the two attachments and contact Aria Mohseny, [email protected], with any questions and/or to initiate the review process.
FAQ’s:
- Why must I submit final versions of the Specific Aims, Research Strategy and Bibliography by 10am on the deadline?
- We may have multiple grants going out on any given deadline day and need time to conduct a final review.
- Cayuse, the grant submission system we use to submit proposals to Grants.gov, can (and has) gone down on deadline day.
- Some errors cannot be identified until submission. If an error is found, the grant proposal must be recalled and resubmitted which takes some time to process.
- If errors are identified upon submission, we need time to correct the issues. If the errors pertain to Co-Investigators in other parts of the country, we want to provide them with ample time to review and correct.
- Are there templates for any of the NIH grant proposal sections?
- Yes, templates and tips for many of the required NIH uploads can be found on the UCLA CTSI website.
- What budget details should be provided to the Pre-Award Office in order to begin preparing your budget?
- All personnel (key personnel and non-key personnel) and their % effort.
- As appliable, any of the following:
- Subawards
- Travel
- Statistical costs
- Publication costs
- Materials and supplies
- Laboratory costs
- Any additional project-specific costs
